What is Sellen’s Reporting Hotline?
Sellen’s Reporting Hotline is a web-based portal supported by an independent third-party, ComplianceLine. It is a comprehensive and confidential reporting resource that enables anyone working for or interacting with Sellen to voice their concerns, make a complaint, or bring Sellen’s awareness to any issues they’re experiencing.
Who can use Sellen’s Reporting Hotline?
Anyone. Period. This includes:
- Sellen Employees
- Subcontractors
- Vendors
- Clients
- General Public
How can I report or voice my concerns?
You can call the Sellen Reporting Hotline by phone 1 (877)-8SELLEN (1-877-873-5536) or by submitting a report online through https://sellencompliance.com/.
Will I be required to provide any personal information when making my report? Can I remain anonymous?
ComplianceLine, is an independent third party who will not request personal information such as your employee number, Social Security Number, or Drivers License information. ComplianceLine does not attempt to identify reporters, whether submitting telephonically or electronically. If you make a report by phone or online, you decide if you want to remain anonymous or if you want to provide your name and other contact information. When making an anonymous report, the person making that report is provided an Incident Report Code that allows for anonymous communication with a member of ComplianceLine.
Where do these reports go? Who will have access to them?
All reports will be maintained on a secure server by ComplianceLine, not Sellen. However, the Sellen Hotline Response Team will have access to the information of your report – so that they can understand and best address your concerns. Depending on the nature of the issue, one or more members of this team will receive a report made via ComplianceLine.
What is Sellen’s Hotline Response Team?
Sellen’s Hotline Response Team consists of a select group of individuals from Sellen’s Human Resources, People Operations, Safety, and Risk Departments. Based on the nature of the issue, a member of the Hotline Response Team will ensure your concerns are addressed.
What information do I need to provide about my complaint?
Sellen’s Hotline Response Team can share whatever information you are willing to provide, but to facilitate a thorough review and follow-up, we must receive specific details concerning the matter. Providing partial or incomplete information may limit Sellen’s ability to respond and could result in case closure due to insufficient information. Information needed to complete a thorough review may include:
- The name(s) of people or companies that you see are creating a problem or are at fault.
- Description of the event, jobsite/place, and date/time of when event(s) occurred
- Specific details or synopsis of the concern(s) being raised
- The names of witnesses to the event and the names of others who may have knowledge of the concern(s) being raised.
- Background information on how you learned about the problem if you were not a participant in events or directly involved.
- Supporting documentation if available, for example: text messages, photos, messages, etc.
What types of situations should I report?
We want to hear about, concerns, policy violations, issues or incidents that involve Sellen, our workplaces, or our company practices. Keep in mind that all reporters are protected from retaliation for concerns raised in Good Faith (believed to be true).Examples of situations where someone might report:
- Questions or seek guidance on matters when it is uncomfortable speaking with a member of management or Sellen’s HR department
- Specific incidents of unacceptable or disruptive behaviors (physical or verbal)
- Employee relations matters (hiring practices, retaliation, discrimination, harassment, unprofessionalism)
- Unsafe work environment (property damage, poorly maintained equipment, environmental hazards, onsite injuries either witnessed or sustained, workplace conflicts or threats, etc…)
- Reasonably believing that an employee may cause harm to themselves or others
- Reporting the use of illegal substances or prohibited items on the jobsite
- Ongoing, previously reported concerns that require an independent review
Why should I report what I know? What’s in it for me?
Sellen Construction’s purpose is to improve the lives of those around us – as builders, partners, and neighbors. To improve our workplace, we want to know of situations that are causing problems and creating an unsafe or hostile workplace. By shedding light on a problem, we can improve the work environment not only for ourselves, but those around us. Without your report, problems can remain unknown and unaddressed – potentially with very negative consequences. We take any potential violation seriously. Reports of potential misconduct are reviewed carefully, and steps are taken to correct the situation, including disciplinary action when appropriate.
How long will the investigation take?
Each issue reported through the ComplianceLine is unique. ComplianceLine provides relevant information to Sellen’s Hotline Response Team promptly (typically within 24 hours), and Sellen’s next steps may take days or weeks, depending on many factors, such as the complexity of the issue, the number of people involved, the nature and extent of documents or other evidence involved, and the urgency of the matter. After making a report, an individual may use the Incident Report Code to check on the status of a review or communicate with the Sellen’s Hotline Response Team.
How do I get updates from investigators? How do I share additional details? How do I know the outcome of my report?
After completing a report, ComplianceLine will provide you with an Incident Report Code. ComplianceLine will ask that you follow up in a few days. You are encouraged, but not required, to call back for an update on your case. In order to ask questions, provide updates or inquire about the status of your report, click ‘Follow-up’ on https://sellencompliance.com/.
What does “confidentiality” mean? Is it the same as “anonymity?”
Confidentiality means that the information you report will not be disclosed to individuals outside of the reasonable “need to know” standard. This includes information received, used, maintained or accessed during the course of normal duties, such as case reviews.
Anonymity (or “anonymous”) means that anyone can report their concerns through ComplianceLine without disclosing their identity. Anonymous reports made in Good Faith will be taken and reviewed without an attempt to identify the reporter.
Be advised that:
- There are circumstances in which confidentiality and anonymity may not be maintained, such as disclosures pursuant to a subpoena or court order, a lawful discovery request or a disclosure necessary to resolve a potential compliance matter.
- Anonymity applies to an individual’s identity.
- Confidentiality applies to information received, used, maintained or accessed.
- Reporters may choose to release their identity during or after a completed review.
- Information shared through the ComplianceLine may lead to indirect identification of a reporter given the specific details provided
- Sellen wants to hear about and address your concerns. ComplianceLine is one vehicle. People are always welcome to be in direct contact with Safety, HR, or other teams to resolve an issue.
If I remain anonymous will any of my information be tracked?
Your phone call will not be traced or recorded, and your phone number will not be included in your report - unless you allow ComplianceLine to do so.
Can I report something simply for the sake of reporting and not request a follow up?
Yes, you can report anything that you believe warrants reporting for whatever reason. You can choose whether or to not to receive follow up on your compliant, but you will still be provided with an incident Report Code in case if you later decide to check in on the progress of your complaint.
